Match the invoice to the assignment
For hourly work, describe the work, period and number of hours. For a fixed fee, describe the agreed deliverable and refer to your quote in the description. Quantities and unit prices in factuurmaken support either approach; you keep your own time records.
Example: editing a newsletter with an extra revision
| Invoice line | Quantity | What it explains |
|---|---|---|
| September newsletter editing | 2 half-days | The agreed work and period |
| Additional revision after approval | 1 round | Work beyond the original assignment |
| Interview transcription | 3 hours | Additional hourly work |
Agree additional work with your client before doing it. A clear invoice line explains the charge but does not replace that agreement. Specify whether preparation and meetings are included in your fixed fee.
Keep regular clients organised
An account saves client details and shows outstanding invoices. Update the descriptions and service period for each assignment instead of relying on the text of an old document.
Can I invoice the same amount every month?
For a fixed retainer, use a recurring invoice schedule with a plan that includes that feature. If your hours vary each month, check the actual work before invoicing. A fixed schedule cannot know how many additional hours you worked.
