Establish who receives the bill
An individual client may pay personally, while an employer may commission business coaching. Ask for the billing name, address and any purchase reference before starting. Save the paying organisation as the client in factuurmaken.
Keep descriptions focused on the service. A programme name and session date help identify the work; private conversation notes do not belong on an invoice.
Example: a six-session programme
| Invoice line | Quantity | Agreement |
|---|---|---|
| Career coaching, September–November | 1 programme | Six sessions as quoted |
| Additional coaching session | 1 session | Separately agreed extra work |
When invoicing a programme as a package, do not also charge for its included sessions as separate lines. That would count the agreed work twice.
Split a programme into instalments
Record the instalment split in your quote, for example at the start and midway through the programme. Choose invoice dates that match your agreement. Invoice dates do not manage your coaching calendar.
Can I automatically invoice the same sessions each month?
Recurring invoices suit fixed amounts and schedules, with a plan that includes the feature. For changing session counts, invoice the actual agreed work. Choose the VAT setting appropriate to your service and circumstances; the job title ‘coach’ alone does not determine it.
